How to Set Up a Shared Calendar as a Couple (and Actually Use It)

"Wait, that's this Saturday?" is one of the most common small frictions in a shared home. One person made the plan, told the other once, and assumed it stuck. A shared calendar fixes this, but only if both of you actually put things in it and look at it. Most shared calendars quietly die within a month.

Here's how to set one up so it doesn't.

Why shared calendars go stale

There are two usual reasons. The first is that only one person adds events, so the other stops trusting it and goes back to asking. The second is that it gets cluttered: every work meeting, gym class and dentist reminder from both of your lives, until the plans that actually affect both of you are lost in the noise.

Both have the same fix: agree what the shared calendar is for, and make adding to it as easy as texting.

What belongs on it

The test is simple: does this affect the other person?

• Plans you're doing together: dinners, weddings, trips, visiting family.
• Plans that change the household: one of you away overnight, working late, friends coming to stay.
• Household appointments: the boiler engineer, a delivery, the vet, parents' evening.
• Deadlines you share: rent increases, renewals, the tax return, the car inspection.

Your own work calendar and personal routines usually don't belong there. If you want each other's availability visible, overlay the calendars rather than copying everything into the shared one.

Three ways to set one up

1. A shared Google calendar.Create a new calendar (not your main one) called something like "Home", and share it with your partner with permission to make changes. It shows up alongside both of your own calendars. It's free and works on any phone, which makes it the default choice if you both already use Google.

2. A shared iCloud calendar.If you both use iPhones, create a new calendar in the Calendar app and add your partner as a person who can edit it. Same idea, built into the phone, and events appear in your normal calendar view. It's awkward if one of you uses Android.

3. A calendar inside a household app.Here the calendar sits next to your shared grocery list, chores and expenses. The advantage is context: the vet appointment is next to the dog's medication record, and the dinner party sits next to the shopping list for it. The trade-off is that it's separate from your work calendar, so it works best for household plans rather than your whole day.

None of these is wrong. The best one is the one you'll both open.

Habits that keep it alive

Whoever makes the plan adds it, immediately.Not later, not "I'll tell you tonight". If you say yes to a dinner, it goes in before you put the phone down. This one rule does most of the work.

If it's not in the calendar, it's not agreed.This sounds strict, but it takes the blame out of missed plans. It's not that one of you forgot; the plan never made it into the shared place.

Set reminders on the things that need prep. A reminder the day before a birthday dinner is useful. A reminder five minutes before is too late to buy a present.

Look at the week together on Sunday.Five minutes: what's on, who's out, which evenings are free. It catches clashes before they happen, and it's also a natural moment to plan the week's food and shopping.

Keep one colour per type, not per person.Colouring by who created the event tells you little. Colouring "together", "one of us away" and "household appointment" tells you at a glance what the week looks like.
